Compare the configured machine, included equipment, options, acceptance and delivery scope using the same project brief.

Use this laser machine quotation checklist to compare the proposed equipment and supply scope with your requirements. Keep your drawings, material list and production brief beside each quote. Send the same brief to every supplier and record changes or exclusions.

Identify the exact machine and configuration

Ask for the equipment model and the specific configuration being offered. Review the laser source, processing head or optics, controller, software and working format. Where the product page lists several options, the quote should identify which option is included.

Keep the material and application requirements with the proposal. A broad platform range is not a list of capabilities delivered by every version, and a source power figure alone does not define the complete machine.

Ask the supplier to mark each item as included, optional, customer-supplied or outside scope. This makes omissions visible without assuming that every proposal needs the same supporting equipment.

Clarify the site and delivery responsibilities

Provide the destination and available site information. Ask which electrical, cooling, gas, extraction, space and handling requirements must be confirmed for the selected configuration, and who is responsible for each part of the installation preparation.

Request the packing scope, shipping method, delivery basis, lead-time assumptions and responsibilities for receiving and positioning the equipment. Clarify which costs are included in the offer. Record the quotation validity and agreed commercial milestones; destination-specific import requirements should be reviewed by the responsible importer or adviser.

Agree acceptance and handover

Set out the checks that will demonstrate the agreed configuration and application. If a sample test is part of the decision, use the same drawing revision, materials and acceptance criteria in the test record and quotation. The sample preparation guide explains what to organise in advance.

Ask what documentation comes with the selected machine and which language is provided. Clarify the training format, participants, installation scope and the record used to confirm handover. A generic brochure should not substitute for the information needed for the delivered configuration.

Confirm support and the next revision

Review the proposed warranty and support scope, exclusions, reporting process and arrangements for service parts. Keep these in the written offer for the equipment you are considering rather than applying a general website statement to every project.

  • Record the quotation number, revision, date and contact person.
  • List unresolved questions and request a revised itemised offer.
  • Keep optional prices separate from the agreed included scope.
  • Confirm the selected configuration again if a component or requirement changes.
